Department: Human Resources & Administration Reports To: HR & Administration Manager Job Summary The HR and Administration Officer is responsible for supporting the organization's human resource functions and administrative operations. The role ensures effective recruitment, employee relations, performance management, personnel administration, office management, compliance with labor laws, and smooth day-to-day administrative activities. Key Responsibilities Human Resources Responsibilities Recruitment & Selection • Assist in manpower planning and recruitment processes. • Prepare and post job advertisements on relevant platforms. • Screen applications and coordinate interviews. • Conduct reference checks and support hiring decisions. • Facilitate onboarding and orientation of new employees. Employee Records & Documentation • Maintain accurate and up-to-date employee files and HR records. • Prepare employment contracts, confirmation letters, transfer letters, and other HR documents. • Monitor employee attendance, leave balances, and personnel movements Performance Management • Support the implementation of performance appraisal systems. • Track employee performance review schedules. • Maintain performance evaluation records and reports. Employee Relations • Address employee inquiries and concerns professionally. • Support disciplinary procedures and grievance handling. • Promote a positive work environment and employee engagement activities. Training & Development • Identify training needs in collaboration with department heads. • Coordinate internal and external training programs. • Maintain training records and evaluate training effectiveness. HR Compliance • Ensure compliance with labor laws, company policies, and HR procedures. • Support HR audits and statutory reporting requirements Administration Responsibilities Office Administration • Oversee daily office operations and administrative support services. • Manage office supplies, equipment, and inventory. • Coordinate maintenance and repairs of office facilities. Asset Management • Maintain records of company assets and equipment. • Monitor asset allocation and movement. • Conduct periodic asset verification exercises. Vendor & Service Management • Coordinate with service providers, suppliers, and contractors. • Process administrative purchase requests and quotations. • Monitor service agreements and vendor performance. Travel & Logistics • Arrange business travel, accommodation, and transportation for employees when required. • Coordinate meetings, events, and company functions. Health, Safety & Security • Support workplace health and safety initiatives. • Ensure compliance with company safety standards and regulations. • Report and follow up on workplace incidents.
