Job Title Senior Import Officer Reports To CEO Job Summary The Senior Import Officer is responsible for managing and coordinating the end-to-end import process, ensuring timely clearance of imported goods, compliance with customs and regulatory requirements, and effective coordination with overseas suppliers, freight forwarders, shipping lines, customs agents, and government authorities. The role requires excellent communication skills and the ability to collaborate effectively with international suppliers, particularly those based in China. Key Responsibilities Import Operations • Manage the complete import process from purchase order issuance to final delivery. • Coordinate import shipments with overseas suppliers, freight forwarders, and shipping lines. • Monitor shipment schedules and proactively resolve delays or logistical issues. • Ensure imported goods are delivered within the required timelines. Documentation & Compliance • Prepare, review, and verify all import documentation, including Commercial Invoices, Packing Lists, Bills of Lading/Air Waybills, Certificates of Origin, Insurance Certificates, and Import Permits. • Ensure compliance with customs regulations, import policies, and applicable laws. • Maintain accurate records of all import transactions and documentation. Customs Clearance • Coordinate customs clearance with customs brokers and relevant government authorities. • Ensure timely payment of duties, taxes, and customs-related charges. • Resolve customs issues, inspections, and documentation discrepancies promptly. Supplier & Logistics Coordination • Build and maintain strong relationships with international suppliers, particularly suppliers in China. • Communicate effectively with overseas vendors regarding purchase orders, production schedules, shipment status, and documentation. • Track shipments and provide regular updates to internal stakeholders. • Negotiate freight rates and logistics costs when required. • Coordinate inland transportation to warehouses or project sites. Cost Control & Reporting • Monitor import-related costs and identify opportunities for cost savings. • Prepare reports on shipment status, import expenses, and delivery performance. • Support budgeting and forecasting for import activities. Continuous Improvement • Recommend improvements to import procedures and logistics operations. • Stay updated on changes in import regulations, customs procedures, and international trade practices. Qualifications • Bachelor's degree in Logistics, Supply Chain Management, Procurement, International Business, Business Administration, or a related field. • Minimum of 2 years of experience in import operations, international procurement, or supply chain management. • Experience working with international suppliers, particularly Chinese suppliers, is highly preferred. Required Skills • Strong knowledge of international trade, import regulations, and customs clearance procedures. • Excellent verbal and written English communication skills. • Strong negotiation and supplier relationship management skills. • Ability to coordinate effectively with overseas suppliers and cross-functional teams. • Willingness and flexibility to work according to China Standard Time (UTC+8) when business operations require. • Excellent organizational, analytical, and problem-solving skills. • High attention to detail and ability to manage multiple shipments simultaneously. • Proficiency in Microsoft Office applications and ERP systems is an advantage. • M Chinese language proficiency is preferred to facilitate effective communication with suppliers and business partners in China. Working Conditions • Full-time position. • Flexibility to work extended hours or adjust schedules to accommodate communication with international suppliers operating in China Standard Time (UTC+8) .
