About the Role: We are seeking a highly organized Secretary to support our entire team. For this role, previous experience working in the printing, advertising, or creative industry is mandatory. You will act as the friendly face of our office and the organizational hub connecting our creative, sales, and production departments. Because of the nature of our work, you must understand print and advertising workflows (like sending proofs, managing job tickets, and working with printing timelines) to ensure daily operations are flawless. Key Responsibilities: • Reception & Communication: Professionally answer calls, reply to emails, warmly welcome walk-in clients, and assist with print order pickups. • Order & File Tracking: Act as the bridge between the client and our team by logging new orders, organizing job tickets, following up on missing files, and sending client design proofs for approval. • Team Support: Serve as the central communication hub—routing messages, managing schedules, and making sure the design and production teams have what they need to meet tight deadlines. • Office Maintenance & Record Keeping: Maintain highly organized digital and physical filing systems for client jobs and invoices. Keep the front reception area tidy and manage office supply inventory. What We’re Looking For (Requirements): • Required Industry Experience: You must have previous administrative or secretarial experience working inside a printing press, advertising agency, or creative design company. • Administrative Experience: 1–2+ years of experience in an administrative, clerical, or receptionist role. • Impeccable Attention to Detail: In the printing industry, a single typo, wrong color code, or misplaced file costs money. You must be eagle-eyed. • Time Management: Exceptional multitasking skills with the ability to handle a ringing phone, an arriving client, and an urgent print ticket without getting flustered. • Tech Savvy: Strong proficiency in basic office software [Google Workspace / Microsoft Office] and comfort with handling digital print files (like PDFs). • Communication: Excellent written and verbal communication and customer service skills.
