Position: HR/Administrative Secretary Career level: Mid- level, Experience of Executive Secretary in a high busy office environment with high standard documentation. Employment type: Full time Salary: As per the scale of the organization and attractive with perks Statement of Purpose: The HR Secretary is responsible for providing secretarial, clerical, documentation and administrative support in order to ensure that services are provided in an effective and efficient manner. Responsible to file all documents accordingly both in soft and hard copies. Major Tasks, Duties & Responsibilities: • Performs a variety of administrative and/or secretarial support activities for supervisor such as composing replies to correspondence, summarizes reports and information to investigate, evaluate and resolve problems within scope of position. • Prepares or directs preparation of minutes, notices, manuals, agendas and correspondence with all supporting documentation, requiring application of a specialized knowledge of the assigned function. • Researches, summarizes and analyzes information; calculates statistics and compiles data to prepare special and recurring reports containing specialized or sensitive information following supervisor's general direction; selects relevant information from a variety of sources. • Maintains calendar(s) for assigned staff, regularly prioritizing and arranging meetings, conferences and appointments; • Handles incoming mail and send mails to designated personnel or customers. • Implement and maintain office systems. • Answer phone calls, take messages or transfer calls to appropriate office personnel. • Maintain the general filing system and file all correspondence. (hard and soft copies) • Types confidential documents. • Operates office equipment such as printers, copiers, etc. • Maintains confidence and protects operations by keeping information confidential. • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies. • Perform other duties pertinent to this job as appropriate or as required. About You Educational Qualification and Work Experience • Bachelor’s degree in Management, Secretarial Science, office Administration required. • Minimum of 3 years work experience in similar field.
