Job Summary The Store & Asset Management Officer is responsible for overseeing the day-to-day operations of the Store and Asset Management function, ensuring the effective management, control, and accountability of organizational inventory and fixed assets. The role is responsible for maintaining accurate inventory and asset records, overseeing stock movements, coordinating asset allocation, and ensuring compliance with established store and asset management policies and procedures. The Officer plays a key role in optimizing inventory levels, safeguarding company assets, supporting operational departments, and providing accurate reports to facilitate informed decision-making. Responsibilities Store Operations • Manage the receipt, inspection, storage, and issuance of inventory items and equipment in accordance with company policies and procedures. • Ensure all stock receipts, issuances, returns, and transfers are accurately recorded and supported by appropriate documentation. • Monitor inventory levels, analyze stock movement trends, and initiate timely replenishment requests to prevent stock shortages or overstocking. • Conduct periodic and annual physical inventory counts, investigate discrepancies, and implement corrective actions to maintain inventory accuracy. • Ensure the store is organized, secure, and maintained in accordance with safety and operational standards. • Coordinate the timely distribution of office supplies, equipment, and operational materials to departments and newly hired employees. • Monitor inventory utilization and recommend process improvements to enhance operational efficiency and cost control. Asset Management • Maintain and regularly update the organization ' s asset register, ensuring complete and accurate records for all company assets. • Oversee asset tagging, assignment, tracking, transfers, maintenance coordination, and disposal processes in accordance with company policies. • Ensure proper documentation and authorization for all asset movements and changes in asset ownership or location. • Coordinate periodic asset verification exercises and audits, investigate discrepancies, and recommend corrective actions. • Monitor the condition and utilization of company assets and recommend replacement, repair, or disposal when appropriate. • Work closely with IT, Administration, Finance, and other departments to ensure effective asset utilization and accountability. Reporting & Administration • Prepare accurate weekly, monthly, quarterly, and annual inventory and asset management reports for management review. • Maintain complete and organized records of inventory transactions, asset documentation, supplier delivery notes, and issuance forms. • Ensure inventory and asset records are updated in Smartsheet or other approved inventory management systems. • Monitor compliance with store and asset management procedures and recommend improvements to strengthen internalcontrols. • Support internal and external audits by providing accurate inventory and asset documentation. • Perform other store and asset management duties as assigned by the line manager. Requirements • Degree in Accounting, Management, Logistics and Supply Chain Management, or a related field. • Minimum of 4 years of experience in store, inventory, or asset management. • Good knowledge of office equipment, IT assets, and office supplies. • Proficiency in inventory control procedures and Microsoft Office applications. • Strong organizational, communication, and record-keeping skills. • Ability to conduct physical inventory counts and manage assets efficiently. • Ability to work independently and as part of a team. • High attention to detail and the ability to work independently and collaboratively
