Job Summary The Procurement Officer is responsible for planning, coordinating, and managing the procurement of medical supplies, pharmaceuticals, equipment, office supplies, services, and other organizational requirements. The position ensures that goods and services are procured at the right quality, quantity, price, and time while maintaining transparency, proper documentation, and compliance with organizational policies and procedures. Key Duties and Responsibilities • Prepare and implement procurement plans based on departmental and organizational requirements. • Receive, review, and consolidate purchase requests from different departments. • Identify and evaluate potential suppliers and maintain an updated supplier database. • Request and collect quotations/proformas from qualified suppliers. • Compare quotations based on price, quality, specifications, delivery time, payment terms, and other relevant factors. • Prepare purchase orders and procurement documents for approval. • Negotiate prices, delivery schedules, payment terms, and other contractual conditions with suppliers. • Follow up on purchase orders to ensure timely delivery of goods and services. • Coordinate with requesting departments, Finance, Stores, and suppliers to ensure smooth procurement processes. • Verify that delivered items meet the required specifications, quantity, and quality. • Maintain complete and organized procurement records, including purchase requests, quotations, bid comparisons, purchase orders, invoices, and delivery documents. • Monitor supplier performance and address issues related to quality, delivery, pricing, and service. • Support contract preparation, renewal, and supplier agreement management. • Ensure procurement activities comply with company policies, procedures, and applicable laws and regulations. • Monitor market prices and identify cost-saving and alternative sourcing opportunities. • Assist in inventory planning and ensure timely procurement of frequently used and critical items. • Prepare regular procurement reports and provide updates on pending and completed purchases. • Maintain confidentiality and demonstrate integrity and transparency in all procurement activities. • Perform other procurement-related duties assigned by the immediate supervisor. Job Specification Educational Qualification • Bachelor's Degree in Procurement and Supply Chain Management, Logistics and Supply Chain Management, Business Management, Accounting, Finance, or a related field . • Professional procurement certification is an advantage.
