VACANCY ANNOUNCEMENT Abrihot Specialized Psychological Center Wollo Sefer, Addis Ababa Position: Front Desk Officer Number required: 1 Employment: Full-time, permanent (after probation) ABOUT THE ROLE The Front Desk Officer is the first point of contact for every client who reaches Abrihot. You will manage client communication, appointment scheduling across our four clinical units, payment follow-up, and client file handling all to a strict standard of confidentiality and professionalism. KEY RESPONSIBILITIES Client communication & scheduling • Receive all first contacts (phone, Telegram, email, social media, walk-in) and give accurate service information • Send intake forms and schedule screening with the Client Case Manager • Book therapy sessions on the unit session trackers and keep them accurate and up to date • Confirm appointments with clients and therapists ahead of each session • • Follow up prepayment 48 hours before each session and send reminder/cancellation notices per protocol Documentation & records • Prepare client card files before screening and hand over to the Client Case Manager • Receive, secure and correctly file all clinical documents • Keep active and closed files separated per FMHACA record-keeping standards • Manage incoming and outgoing letters Reception & client experience • Welcome clients, seat them, offer refreshments and guide them to therapy rooms • Maintain a calm, clean and comfortable waiting area • Keep session time — signal start and end of sessions Administrative support • Collect and record payments (cash, mobile banking, card) and verify receipts • Prepare daily and weekly reports on bookings, no-shows, cancellations and room utilisation • Track office supplies and therapy material inventory • Support unit-specific tasks: child unit attendance tracking, assessment kit readiness, training/workshop registration REQUIREMENTS Experience: 1–2 years in a front desk, reception or client service role — experience in a health, clinical or counselling setting is a strong advantage Fluent in Amharic and English (spoken and written) Confident with computers — Excel/Google Sheets, email, Telegram Strong organisational skills and accuracy with schedules, numbers and records Warm, patient and professional manner with clients, including distressed clients, parents and children Absolute commitment to client confidentiality WHAT WE OFFER • Competitive salary, negotiable based on experience • Structured onboarding and continuous professional development • A professional, ethical and supportive work environment in a licensed specialized center Deadline: within 7 working days of this announcement.
