Job Summary We are seeking a highly organized, professional, and trustworthy Office Assistant to provide administrative and operational support within the Executive Office. The successful candidate will be responsible for managing schedules, coordinating meetings, preparing documents, handling correspondence, maintaining records, and supporting the smooth day-to-day functioning of the office. The role requires a high level of discretion, confidentiality, attention to detail, and professionalism when dealing with sensitive information and senior stakeholders. Key Responsibilities • Provide administrative and organizational support to the Executive Office. • Manage calendars, appointments, meetings, and schedules. • Coordinate internal and external meetings and prepare necessary materials. • Handle incoming calls, emails, correspondence, and routine inquiries professionally. • Prepare, format, and organize letters, reports, presentations, and other documents. • Maintain accurate and well-organized electronic and physical filing systems. • Prepare meeting agendas, minutes, action points, and follow-up trackers. • Monitor assigned tasks and follow up with relevant departments to ensure timely completion. • Coordinate communication with internal departments, clients, partners, and other stakeholders. • Assist with travel arrangements, accommodation, and related logistics when required. • Handle confidential and sensitive information with strict discretion. • Support the preparation of presentations, reports, meetings, conferences, and official engagements. • Conduct basic research and compile information as requested. • Assist with special projects and other administrative assignments. • Perform other duties as assigned by management. Qualifications and Experience • Diploma or bachelor's degree in Business Administration, Office Administration, Management, or a related field. • At least two years of previous experience in office administration, executive support, secretarial work, or a similar role is preferred. • Strong written and verbal communication skills. • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook. • Excellent organizational and time-management skills. • Strong attention to detail and accuracy. • Ability to manage multiple tasks and priorities effectively. • Professional communication and interpersonal skills. • Ability to maintain confidentiality. • Ability to work independently as well as collaboratively within a team.
