Hill Bottom Properties is seeking an exceptional Executive Assistant to support the Managing Director in running a dynamic and growing real estate development company. This is a high-trust, high-discretion role at the centre of the company's operations. The successful candidate will manage the MD's calendar, prepare and coordinate all executive meetings, track pending approvals across all departments, handle confidential correspondence, and ensure the MD's office operates with precision and professionalism. KEY RESPONSIBILITIES • Manage the Managing Director's calendar — scheduling all meetings, site visits, external appointments, and travel with zero double-bookings • Prepare agendas for all MD-chaired meetings (weekly dashboard review, monthly finance & operations meeting, quarterly strategic review, annual review) — circulated 48 hours in advance • Take minutes at all MD-chaired meetings and distribute action items within 24 hours of meeting close • Track all pending MD-approval documents across all departments (bonus approvals, salary adjustments, promotions, payment ceilings) and ensure nothing is delayed • Handle all incoming and outgoing correspondence for the MD's office — prioritise, filter, route, and draft responses for MD review • Maintain the MD's confidential office files in Odoo Documents — board decisions, signed approvals, strategic documents — in a secure, organised system • Coordinate communication between the MD and all department heads — ensuring MD instructions are communicated accurately and tracked to completion • Arrange travel, accommodation, and logistics for the MD and for company guests visiting senior leadership • Liaise with the Admin Supervisor on company-wide administrative matters requiring MD awareness or approval • Represent the MD's office with professionalism in all interactions with internal staff, clients, partners, and government officials QUALIFICATIONS & EXPERIENCE • Bachelor's degree in Business Administration, Communications, Secretarial Science, or related field • Minimum 3 years' experience as an Executive Assistant or Senior PA supporting C-level or MD-level leadership • Excellent written and spoken Amharic and English — all MD correspondence and meeting minutes produced in both languages • Proficiency with Odoo or similar business management systems, Microsoft Office (Word, Excel, PowerPoint), and communication tools • Experience managing confidential information with absolute discretion • Proven ability to manage multiple priorities simultaneously without losing accuracy or composure KEY COMPETENCIES ✓ Exceptional organisational skills ✓ Absolute discretion & confidentiality ✓ Proactive problem-solving ✓ Calendar & diary management ✓ Professional written communication ✓ Meeting facilitation support ✓ Attention to detail ✓ Stakeholder management ✓ Calm under pressure ✓ Bilingual Amharic & English ✓ Technology proficiency ✓ Reliability & trustworthiness WHAT WE OFFER • Competitive base salary commensurate with experience • Quarterly performance bonus based on KPI achievement • Direct working relationship with the Managing Director • Exposure to all aspects of a growing real estate development company • Professional development and training investment • Prestigious, high-impact role in a dynamic organisation Qualified and interested candidates are invited to submit their CV and a cover letter clearly stating the position applied for
